Managing stars

What are stars?

Stars help you visually organize conversations and quickly understand their context by adding a colored icon next to the subject line. They can be applied manually or automatically via triggers. Learn more about using stars.

The stars available in your workspace are selected from a predefined set of icons. Read below to learn how to manage which stars are available, how to reorder them, and how to rename them.

This article talks about managing stars. To learn about using stars in conversations, refer to Conversation stars.

Workspace admins can manage stars and perform the following actions:

  • Add a star from the available set to make it visible and usable across the workspace.

  • Remove a star to hide it and prevent users from setting it to conversations.

  • Rename a star to better reflect your team’s terminology or workflow.

  • Reorder stars to control how they appear in the star selection menu.

Adding a star

To make a new star available for all users in your workspace:

  1. Click the Gear icon in the top-right corner and choose Stars, or press m then s (keyboard shortcut).

  2. Manage stars
  3. Use the Add star menu to select a star and make it available in conversations:

  5. Once added, the star will be displayed at the bottom of the list. Use the arrows on the right to reorder it if needed.

Removing a star

To remove a star so it’s no longer available to users in your workspace:

  1. Click the Gear icon in the top-right corner and choose Stars, or press m then s (keyboard shortcut).

  2. Select the star from the list and click Remove.

Note: if the star is currently in use on any conversations, it will be deactivated instead of removed. Deactivated stars remain visible on associated conversations and in search results, but can no longer be used to star conversations.

Activating an inactive star

To reactivate a deactivated star and make it available to all users again:

  1. Click the Gear icon in the top-right corner and choose Stars, or press m then s (keyboard shortcut).

  2. Select the inactive star you want to reactivate and click Activate.

Renaming stars

To rename a star so it better reflects how it’s used in your workspace:

  1. Click the Gear icon in the top-right corner and choose Stars, or press m then s (keyboard shortcut).

  2. Click the star you want to rename (i.e., set a custom name for).

  3. In the window that appears, enter the custom name in the edit box.

  4. Rename a star
  5. Click Save to apply your changes.

Restoring the default star name

  1. Click the Gear icon in the top-right corner and choose Stars, or press m then s (keyboard shortcut).

  2. Click the star you want to restore to its default name.

  3. In the window that appears, use Restore default.

Change stars order (up/down)

To reorder stars to better fit your workflow:

  1. Click the Gear icon in the top-right corner and choose Stars, or press m then s (keyboard shortcut).

  2. Use the up/down arrows on the right side of each star to move it within the list.

  3. Change the order in which stars appear for selection
